Governor & Lieutenant Governor to Visit Johnston REC on Dec. 19
On Dec. 19 the AEA chiefs are pleased to have the opportunity to host Gov. Terry Branstad, Lt. Gov Kim Reynolds and Linda Fandel, the Governor’s Special Assistant for Education, during the chiefs’ monthly meeting. Branstad, Reynolds and Fandel will hear from the chiefs about the ways the AEAs are collaborating as a cohesive system to support schools including the Collaborating for Kids (C4K) partnership, implementation of RtI/MTSS and support for Teacher Leadership Compensation.
We wanted you to be aware of this visit, which will take place from approximately 8:45 to 10:15 a.m., so you can welcome our guests to Heartland AEA if you see them.

Is Your Address Current? If Not, You Won’t Receive Your W-2 in the Mail
The Payroll Department will have your 2013 Form W-2 Wage and Tax Statement ready by mid-January. Your W-2 will be available electronically through Employee Online and a paper copy will be mailed to your home address. Please help us ensure you receive your paper W-2 in a timely fashion by verifying that we have your correct address on file in our Employee Online system. Please check your information in the system by December 31, 2013.
To verify your address through Employee Online, login to your Employee Dashboard. Employee Online is one of the navigation tabs at the top of the page, just like the Intranet or Leave Online tabs. Once you’ve reached the Employee Online home page, click on Home Address in the left hand navigation section. If you need to update your address, click on the Edit button in the lower right hand corner of the page. It’s that easy!

Staff members frequently inquire when timesheets, addendum pay, direct deposit forms and other changes need to be submitted to the Payroll Department in order to be processed for a particular pay date. To assist in your planning, below is a list of 2014 pay dates and corresponding due dates. Payroll needs to receive all information by the end of the day on the due date to ensure payments and/or changes are made on the corresponding pay date. Any information received in Payroll after the due date may be processed during the next payroll cycle.
For those staff members being paid from a timesheet or receiving addendum pay, please keep in mind these items are to be completed, approved/signed by a supervisor and submitted to Payroll within four working days after the end of the pay period. Any items received after the due date may be processed on the next payroll.

Reminder: Agency Debuts New Mobile Website
In response to the ever-growing population of mobile users, the Agency has debut a new mobile website. This website will automatically load on a web browser (Firefox, Safari, Chrome, etc.) when it is accessed on a smartphone or tablet device. It is specially designed to be mobile-friendly and features large buttons to tap with your fingers instead of small text-based links that you are accustomed to clicking when using a computer.

Additional Early Literacy Guidance/CBE Final Report
The message below was sent to administrators last week from Iowa Department of Education.
Dear Administrator:
I am writing to notify you of two items regarding recently enacted Iowa Code Section 279.68 on Early Literacy Progression. Both items require action on your part. First, in order to obtain your district’s share of the $8 million appropriated by the legislature for implementation of the Early Literacy Progression law, you need to submit a brief application at www.iowagrants.gov. This process is similar to the process used to distribute the Teacher Leadership and Compensation planning grant funds earlier in the school year. The grant opportunity is currently open, and I urge you to submit your information as soon as possible. Instructions for accessing the grant application are attached in the link below.
Second, due to the scope of the law, the Iowa Department of Education will be offering a series of technical assistance opportunities throughout the next year to support districts with implementation. The first installment will occur in the next two weeks. The Department will sponsor one face-to-face meeting and two webinars during which representatives from the Department will review new guidance on Iowa Code §279.68 and the rules recently noticed by the State Board of Education in IAC 281—62. Two guidance documents, both attached in the link below, include information on the new requirements for Iowa’s school districts and tips on how districts may wish to use the funds allocated for the purpose of fulfilling the requirements. There will be ample opportunity for questions. Dates and times offered are below.

Changes in Long Distance Calling
The Internal Technology Department received a request earlier in the year to change long distance calls so that the Heartland AEA telephone number will display on the receiving end (via caller ID). The reason for this request was parents were hanging up the phone when they saw the number listed as “unavailable.”
Because of this change, you will now hear a long continuous tone after you dial the number. Please enter the long distance code at this time and your call will go through. If you have any questions, contact Tuan Dao, Network Administrator, at tdao@heartlandaea.org or ext. 14413.

Agency staff members are reminded that e-mails sent to aea11.k12.ia.us addresses will continue to be forwarded to staff Gmail addresses through June 30, 2014. Staff can access archived email in Kerio but can no longer send mail from Kerio.
Please use the time between now and June 30 to update any accounts that are tied to an aea11.k12.ia.us e-mail address.
