Staff Allocation Information for Small Workgroups

An additional process is in place for workgroups with less than 12 FTE due to the unique nature of their work and the need for additional consultation on assignments. For these small workgroups, hiring managers have pulled together staff members to lead a discussion about assignments and allocations.

Based on data for the current assignments (e.g., number of IEPs and IFSPs), current allocations and knowledge of current assignments, the group can make recommendations about any changes to allocations/assignments that would be beneficial, while maintaining the board-approved FTE for each workgroup.

Additional Calendar Dates Announced

Many dates for next year’s events and work group meetings have been scheduled. Thanks to all who responded promptly and worked with us to resolve conflicts. We are hopeful that the coordination of our calendar will allow all of us to work together in effective ways. The events and meetings listed below have been scheduled. If you are uncertain as to which events or meetings you should attend, check with your supervisor or program assistant. The dates are listed in the internal and external public Kerio calendars. To move them into your personal calendar, follow the directions below.

Copying Events To Your Personal Kerio Calendar
It is easy to copy events from the Public Internal and External Calendars. It is even possible to copy meetings that are scheduled at multiple times throughout the year all at once.

1. Locate the folder labeled Public folders in the folder tree on the left hand side of the Kerio window. Click the plus button next to the folder to expand it if necessary.

2. Click once on either the Calendar_External or Calendar_Internal and click on the list view icon in the button bar at the top.

3. In the search box, type the exact name of the meeting as it appears in the list above and click the Search button. Press and hold down the command key on the keyboard and click once on each meeting that you plan to attend to highlight them. You can release the command key when you are finished highlighting the meetings.

4. Once they are highlighted, click the Copy button in the button bar at the top (yellow folder with a green arrow pointing down located above the calendar between the New Event button and the Print button).

5. When the Folder selection window appears, click once on your folder labeled Calendar and click the Copy button at the bottom of the window. That will copy the events with all the details to your personal calendar.

Remember that when you copy events into your calendar in this manner, you will not receive updates if the organizer of the meeting makes a change. Organizers need to notify their participants if changes are made and participants then need to update their personal calendars. Whenever a change is made, Anita Davids must be notified so that our agency calendar is accurate.

Learning Teams...Sharing What You Have Learned

We have received a number of questions about the activity at the April 29th and 30th Office Meetings that will provide learning teams with an opportunity to share what they have learned. We do not expect any team to develop a presentation. We know you are all very busy, so we plan to keep our sharing very informal. Here is how we plan to have teams share: at the meeting, each team will be given some time to meet together and summarize some of the key concepts they have learned on a piece of chart paper. They will select one of their team members to stay with the chart paper and share while the rest of the team rotates around to talk with other teams.

If you have artifacts that you would like to share, please feel free to bring them, but they are not required. Example artifacts might include books you studied, articles you read, data you collected, permanent products you created, resources you located or other items your team studied.

Learning Team Results
We are coming to the end of our year for learning teams. Each learning team will be required to report the results of their learning team. To submit results, the team facilitator should go to the site linked below.

This task needs to be completed by April 23. Each team completing the task by the deadline will be entered into a drawing for a prize to be distributed at the Office Meetings on the 29th or 30th. Note that ONLY facilitators will fill out the Test Pilot. We need this information from all teams including those learning teams participating in leadership academy.

Redesigned Heartland Website to Launch Tomorrow

After many months of hard work, collaboration and a few pushed back deadlines, the Heartland Web Redesign Committee is pleased to announce that the Agency’s redesigned website will launch by the end of the day on Tuesday, March 16! The Committee is confident that the new site will improve communication between the Agency and its clients and partners, including staff members.

The redesigned site is the culmination of the work of the Web Redesign Committee and many staff members who have updated and enhanced the site’s content to better reflect the myriad of programs and services that the Agency offers. The new site is designed to reflect a more modern website by representing everything an organization has to offer, answering clients’ questions and providing timely and accurate information. The redesign was created with input from our stakeholders and our staff and was designed with the end-user in mind. You should find the arrangement of content and navigation much more user-friendly. We will remind you that there are now five tabs to search under—Parents, Educators, Leaders, Job Seekers and Partners. These areas should guide site visitors to the content they need in a much easier way.

The URL of the site hasn’t changed; it is still http://www.aea11.k12.ia.us. If you haven’t already, please take some time to look through the site to see what is new and improved. When talking with parents, teachers, administrators or anyone who may be interested, make it a point to let them know about our redesigned site.

Be Aware of Scent Sensitivity

This is just a friendly reminder asking all staff members to be aware of the perfumes, colognes and lotions you wear and the flowers and plants you bring into the office. Many people are sensitive to scents and can even have dangerous reactions to strong scents. While we don’t expect everyone to stop wearing perfume or lotion or stop bringing flowers to the office, we just ask that you be aware of these activities and how they may affect co-workers or visitors at our offices.
