Reminder of Requirements for Expense Online Receipts

The Business Office would like to remind all employees of Heartland’s expense receipt requirements. For purchases of supplies, employees are allowed to use the Expense Online system to claim reimbursement. If the purchase is less than $25, submission of the receipt is not required with the claim, but for audit purposes, employees must retain their original receipts until January following the end of the current fiscal year. 

 For purchases of $25 or more, the original receipt or a PDF of the original receipt must be sent to Mary Heaberlin, Accounting Technician in the Business Office, in order to be reimbursed. Regardless of the dollar amount and receipt requirements, an expense cannot be claimed if the receipt is lost. In addition, an expense cannot be broken up over several days or months in order to circumvent the $25 threshold. The claim should accurately reflect the correct date and amount of the purchase. Follow-Up Needed to Reduce Number of Unimplemented IEPs

As Child Count approaches, Cindy Yelick, Executive Director of Instructional Services, and Misty Christensen, Regional Director, make the following request: 

Special education staff (direct service providers and primary contacts): Due to a large number of unimplemented IEPs, we are asking for your help in getting IEPs submitted in a timely manner after an IEP meeting has been held. If you are a direct service provider, please submit the IEP as soon as possible after the IEP meeting. If you are a primary contact, please follow up with your teachers to encourage them to finish and submit the IEPs quickly after the IEP meeting. This will ensure that all IEPs have been submitted, implemented and entered into IMS in a timely manner. If you would like a list of unimplemented IEPs for the districts you serve, please ask your AEA district administrative assistant for that report. Thank you for your assistance in getting this task completed.

To place your bid 
Login to the site using your PeopleBox username and password. Click on the item name to view the description and a larger photo. To place your bid, simply fill in the “Your New Bid” field and click on “Place Bid.” You will receive an e-mail notification if you are outbid which will include a link back to the auction site if you wish to re-bid. The auction is available anytime, anywhere until bidding closes at 4:30 p.m. on Friday, September 28. Winners will be notified by email the week of October 1 to send in their payments. The auction is our last United Way event for the 2012 campaign. Please return all pledge cards to Claire Sowder in the Johnston Administration Center by the end of the day on Friday, September 28. Dept. of Education Consultants Serving as AEA/DE Liaisons

Beth Happe, a consultant in the Bureau of School Improvement, and LauraBelle Sherman-Proehl, a consultant in the Bureau of Learner Strategies and Supports, both at the Iowa Dept. of Education, are serving Heartland as AEA/DE liaisons this year. We are pleased to have this support. Beth and LauraBelle will be attending some agency meetings and using guest offices in our Johnston offices on an intermittent basis. Please join us in welcoming them to Heartland.

Knoxville has changed its district’s e-mail addresses to firstname.lastname@kcsd.k12.ia.us. Please make any needed changes to your contacts and distribution lists.
