The Agency is looking forward to trying a new format for this year’s All-Staff Meeting on Sept. 9, 2016. We’re planning for an all-day meeting that features an afternoon of presentations from YOU! We are excited about the possibilities that we hope will come from staff members learning from and connecting with each other.

These presentations will be in the spirit of a Pecha Kucha presentation, during which speakers give quick presentations that include 20 images shown for 20 seconds each for a total of 6 minutes and 40 seconds.

Our All-Staff Planning Committee will review and select presentations, and they will use the following question as one way to evaluate your proposal: Does this Pecha Kucha reflect, educate, touch on or celebrate areas that we’ve emphasized as an organization—our core values, our mission, our goals and wellness?

This new approach to learning during our All-Staff meeting gives us a unique opportunity to feel the pulse of the Agency in just a few hours, to celebrate together, learn together and get re-connected. More than a PowerPoint slideshow, Pecha Kuchas generate discussion and innovation, so don’t be shy, show your work, make an impact!

New “Traveling With Family” Info Added to Out-of-Area Travel Request System

A new choice has been added to the Out-of-Area Travel Request system that pertains to traveling with family. This choice is presented when creating the Travel Request. The purpose of the addition is to inform employees of the Agency’s guidelines regarding traveling with family and to encourage employees to carpool and share rooms when possible. If you choose to travel with family, the employee is responsible for room upgrades (costs above the single rate) and additional travel costs associated with family. If you have any questions, contact Brian Whalen, Business Manager, at ext. 14005.

Sweeping Legislation Reforms Career and Technical Education

Sweeping legislation signed into law last week by Gov. Terry Branstad raises the quality of career and technical education (CTE) programs in the state and sets a new vision for students to graduate from high school ready for college or career training and jobs. 

The legislation, House File 2392, builds upon the recommendations released this past fall by the Secondary Career and Technical Education Task Force and marks the first major revision to CTE policy in Iowa since 1989.

Formerly known as vocational education, CTE consists of programs that integrate technical and academic skills with work-based learning experiences to better prepare students to succeed after high school, whether that be in the workforce or in post-secondary education. In Iowa, CTE programs prepare students for a wide range of careers, including agriculture, computer science, advanced manufacturing, engineering and culinary arts.
 
The legislation raises the quality of CTE programs in Iowa by:

  • Aligning the needs of students, employers and the state’s economy.
  • Engraining career guidance into a student’s educational experience so he or she can make informed decisions about future postsecondary and career plans.
  • Introducing exploratory coursework earlier to better prepare students for transitory and ultimately higher-level, specialized academic and technical training.
  • Expanding student access to coordinated work-based learning opportunities.
  • Improving access to high-quality CTE programs for students across Iowa as regional partnerships create an expanded statewide system of regional centers.
This CTE reform initiative, which focuses on middle and high school students, is in line with the Future Ready Iowa initiative launched by Gov. Branstad and Lt. Gov. Reynolds last fall. The initiative focuses on ways to continue building Iowa’s talent pipeline and close the skills gap so that more Iowans have quality career opportunities and employers have the skilled workforce they need. This legislation will help achieve the Future Ready Iowa goal that 70 percent of Iowans in the workforce have education and training beyond high school by 2025.

Agency Offering Second Free 10-Week Online Weight Loss Opportunity

Heartland AEA is offering a second opportunity for our employees to participate in the Naturally Slim® program.

Naturally Slim is a 10-week online program that helps you lose weight plus improve your overall health – all while eating the foods you love! With Naturally Slim, you will learn that you don’t have to starve yourself or count calories to lose weight and keep it off forever.

How does the Naturally Slim program work?
Naturally Slim is a mindful-eating program that helps you change how you eat instead of what you eat. It is not a diet. And, as you lose weight, you also improve your health by improving the risk factors that can lead to serious, chronic diseases like diabetes, heart disease, cancer and more.

Why not give it a try? 

You can still eat the foods you love and this could be the solution that you’ve been looking for. Thousands of people have used the Naturally Slim program to successfully lose weight.  The average weight loss in just 10 weeks is 10.1 pounds. In fact, 15% of participants lose more than 20 pounds in that time. The first group of Heartland AEA participants had so many success stories that the Agency has decided to offer a summer program!

How do I apply?
The program begins on July 11, 2016 but participation is limited, so complete the online application by June 24, 2016.

Frequently Asked Questions
How will participants be selected?
Program professionals select participants based on pre-determined criteria and a willingness to meet all program completion requirements as outlined below. You will be notified of your application status via email by July 1, 2016.

What are the program completion requirements?

In order to successfully complete the program, you must:

  • Submit the online application and sign all appropriate releases by their associated deadlines.
  • Complete at least 8 of the 10 online video courses for Naturally Slim Foundations within their set weekly time frames. It will be your responsibility to ensure your participation is accurately recorded each week.
  • Complete a pre- and post-program biometric screening.
    • Pre biometric screening must be obtained and submitted to the Wellmark portal by June 24. (You may use your current screening if it was completed after Jan. 1, 2016.)
    • Post biometric screening must be obtained at a local Hy-Vee by Sept. 30 (2 weeks after Foundations class concludes).
What is the cost for the program?
There is no cost to you for the Naturally Slim Program. Your participation will help Heartland AEA achieve our goal of becoming a more health-conscious agency.

However, if you do not meet the program completion requirements as defined above, you will be responsible for reimbursing Heartland AEA $75, a portion of the program fee originally paid on your behalf.

A Note about Confidentiality…
The information that you provide to Naturally Slim will be considered confidential and will be available only to you and the program professionals. Heartland AEA will receive participation reports for administration of payroll and billing processes. Otherwise, the information you provide to Naturally Slim is confidential and available only to you and Naturally Slim and its affiliates involved in conducting or evaluating the program. Naturally Slim cannot sell or otherwise divulge any participant information to any unauthorized party.

Medical Flex Plan Participants: Spend Your Flex $$ by June 30

If you have a medical flex account, you need to spend the money in your account before the end of the plan year (June 30), or you will lose it—unless you are continuing employment with Heartland AEA in a full-time position for the 2016-17 plan year, then up to $500 of your unused dollars will automatically roll over.

Below is a partial list of qualified expenses you can be reimbursed for under the medical flex account:
  • Birth control pills
  • Contact lenses
  • Contact lens solution
  • Dentures
  • Hearing aid batteries
  • Insulin
  • Lasik eye surgery
  • Orthopedic aids
  • Pregnancy and fertility kits
  • Medical or dental office visits
  • Dental - costs of covered dental procedures, i.e. crowns, root canals, fillings, orthodontia, etc. (Cosmetic procedures such as teeth whitening are NOT eligible expenses.)
  • Medical - cost of covered medical procedures (Cosmetic procedures such as plastic surgery are NOT eligible expenses.)
  • Eyeglasses or prescription sunglasses
  • Prescription drugs

Reminder: 2016-17 Medical Plan Changes to Vision and Hearing Benefits

Effective July 1, 2016, both of Heartland AEA’s medical plan options will provide additional coverage for vision exams, hearing exams and hearing aids, as follows:
  • Vision exams – Routine vision exams will be covered once per year, at 100%.
  • Hearing exams – Routine hearing exams will be covered once per year, at 100%.
  • Hearing aids – Hearing aids will be covered, subject to deductible and coinsurance. The benefit is limited to once every three years and is capped at $2,500.
  • Important: Members must see a medical plan network provider to receive these benefits.

Vision and Hearing Benefit Q & A:
Who do I make an appointment with?

For these plan benefits, you must make an appointment with an in-network provider, however, you may schedule directly with any network provider; you do not need a referral.

Where can I purchase a hearing aid?
You must purchase a hearing aid through a network Durable Medical Equipment provider to be covered under your medical plan.

Does our plan have specific audiologists?
Yes, for the hearing exam benefit, you must see a network provider. 

To find a network provider in your area:
Use the “Find a Doctor or Hospital tool” on Wellmark.com to make sure your provider is in the Blue Choice network. Search on “Find a Doctor” and select “Specialist” with a specialty type of Audiologist.

Hearing Aids must be purchased through a network Durable Medical Equipment provider. Search on “Find a Facility” and select “Specialty Facilities/Supplier” with a facility type of Durable Medical Equipment and Suppliers.

If you would rather call, use the Wellmark customer service number on your ID card.


What if it is less expensive to purchase my hearing aids from Costco or through a discount program?

It may be less expensive to purchase hearing aids from non-network providers, and you are not required to use the medical plan. However, hearing aids purchased from non-network providers will not be covered or reimbursed by the medical plan. You will want to consider your medical plan benefits, how much you have already met towards deductible and your out-of-pocket maximum, in determining the most cost-effective provider to purchase hearing aids.

If the $2,500 is being paid towards my hearing aids, is that towards both of them?
Yes, the medical plan will cover up to $2,500 total for both hearing aids. After the $2,500 cap, you will be responsible for the balance (as well as any deductible and/or coinsurance cost share).

Can I request reimbursement for my hearing aids through my HRA?
Yes, hearing aids are a reimbursable expense under both the HRA and our Flexible Spending Account plan.  These are reimbursable regardless if you purchase the hearing aids through the medical plan or not.

How much is this going to cost me?

Routine vision and hearing exams from network providers will be covered at 100% by the medical plan.

Your cost share for hearing aids will depend on your medical plan enrollment, and your medical plan benefit utilization. Following are some examples to help illustrate.

Example 1

  • Both hearing aids cost $3,500 through the network provider.
  • Member has not had any medical claims applied to deductible or out of pocket maximum during the current calendar year.

Heartland AEA 2016 Summer Van Delivery Schedule Available

Heartland AEA vans will deliver twice a week to each district administration building during the summer months.

Schedule-to-date:

  • Twice-a-week delivery to each district administration building runs June 13 to August 5.
  • Twice-a-week delivery will automatically continue to each building that has an extended year calendar.
  • Regular fall van delivery resumes August 8.

Save the Date for Sept. 13 -- Digital Citizenship Day @ Heartland AEA

Digital citizenship is a fundamental aspect of being a student, teacher and administrator in PK-12 schools. To that end, Heartland AEA is hosting a Digital Citizenship Day on Sept. 13. Breakout sessions throughout the day will provide attendees with ideas, information, resources and inspiration to help guide their schools through the many facets of digital citizenship. Ryan Wise, director of the Iowa Department of Education, will provide opening remarks.
